About evasys
evasys is a web-based software solution for creating and analyzing questionnaires. The software supports the entire survey process: from the conception and design of survey instruments and the management of large-scale surveys, through electronic data collection, to the automated reporting of evaluation results.

The University of Augsburg uses the evasys software to conduct course evaluations, student and employee surveys, and numerous other survey projects.
Conducting surveys with evasys
As a support unit, the Quality Agency conducts a wide range of surveys on teaching and student life, as well as on numerous other topics relevant to the University of Augsburg, on behalf of the university administration, the faculties, and central administrative units.
Anonymous surveys
If the survey is conducted anonymously, as specified by the survey creator, this means that the University of Augsburg is unable to link the identities of individual respondents to their survey responses. The University of Augsburg receives only the completed questionnaires from evasys, but not the IP addresses, which might otherwise allow for the identification of individual respondents.

To ensure the survey remains anonymous, it is crucial that participants do not enter any information in the free-text fields that would allow for the identification of a specific individual.

For its own purposes—and thus not as part of its data processing agreement with the University of Augsburg—evasys documents all requests to the server in its IIS log, including the IP addresses of survey participants. For security reasons, this data is stored for 30 days so that, for example, in the event of attacks on the server, the origin of the attacks can be traced to enable appropriate countermeasures. After these 30 days have elapsed, the IP addresses are anonymized. This traceability is essential for evasys for security reasons and is also a requirement of its ISO certification. Therefore, evasys cannot completely disable the storage of IP addresses.

Personal Surveys
Erfolgt die Befragung laut Angabe des Befragung-Erstellers personenbezogen, k?nnen also die Umfrageergebnisse durch die Befragung einer konkreten Person zugeordnet werden, ist für die Durchführung der Befragung eine datenschutzrechtliche Rechtsgrundlage erforderlich. Diese kann auf der Durchführung einer Aufgabe der Universit?t Augsburg, die im ?ffentlichen Interesse liegt (Art. 6 Abs. 1 UAbs. 1 Buchst. e, Abs. 3 Satz 1 Buchst. b i.V.m. Art. 4 und 5 BayDSG), oder auf einer Einwilligung der Teilnehmerinnen und Teilnehmer der Befragung (Art. 6 Abs. 1 UAbs. 1 Buchst. a DSGVO) basieren. N?here datenschutzrechtliche Angaben k?nnen bei nicht anonymen, personenbezogenen Befragungen den Datenschutzhinweisen der jeweiligen Befragung entnommen werden.
Personal invitation to participate in a survey
For the purpose of inviting students and staff to participate in the survey and, if necessary, sending reminders, their contact information is collected in advance from the university’s internal administrative systems (Student Affairs Office, IT Center, and Human Resources Department). Permission for the transfer of data is based on the University of Augsburg’s statutory duties. This data will be deleted after the surveys have been conducted.
